Privacy notice on the processing of personal data

This privacy notice is issued by Razbin (contact: info@razbin.com) as data controller under Turkish Law No. 6698 on the Protection of Personal Data (“KVKK”). It explains how we process the personal data of people who visit razbin.com (the “Site”), fill in the demo and quote form on the Site or contact us.

2. Personal data we process

For our Instagram account (@razbinai), only aggregate statistics that are not about individuals are kept; no personal data is processed in this context. For details, see our Privacy Policy.

3. Why we process personal data

• To receive, assess and respond to your demo and quote requests
• To contact you, arrange a demo, and prepare and send a quote
• To keep a record of correspondence about your request and follow it up
• To prevent misuse of the form and the Site, and to keep the Site running reliably and securely
• To meet our legal obligations and respond to requests from authorized bodies
• With your consent, to send you commercial electronic messages about our products and events
• With your consent, to measure how the Site is used and assess the effect of our advertising

4. Legal grounds

We process your personal data on the following legal grounds under Article 5 of the KVKK:

• Processing is directly related to the formation of a contract (assessing and responding to your demo and quote request)
• Processing is necessary for us to comply with a legal obligation
• Processing is necessary to establish, exercise or defend a right (records of requests and correspondence)
• Processing is necessary for our legitimate interests, provided it does not harm your fundamental rights and freedoms (communication, preventing misuse and keeping the Site running)
• Your explicit consent (commercial electronic messages, and analytics and marketing cookies). Consent to commercial electronic messages is also obtained under Law No. 6563 on the Regulation of Electronic Commerce and related legislation.

Consent to commercial electronic messages is optional; your demo or quote request is assessed in the same way whether or not you give it.

5. How we collect personal data

We collect personal data electronically: through the demo and quote form on the Site, through email, phone or WhatsApp when you contact us that way, and through server logs when you visit the Site.

6. Who we share personal data with

We may share your personal data, only for the purposes above and in line with Articles 8 and 9 of the KVKK, with:

• The provider that hosts the Site and our email service (Hostinger): form records and notification emails are kept on its servers.
• Public authorities and authorized private parties, where they request it and the law requires it.
• If you message us on WhatsApp, your messages are carried by the WhatsApp service, which is subject to its own terms.
• Analytics and marketing service providers are not in use at present; if they are introduced, they will only be activated with your consent.

The servers of our hosting provider and of any analytics and marketing services used with your consent may be located outside Türkiye. In that case, personal data is transferred abroad in accordance with the procedures set out in Article 9 of the KVKK.

7. How long we keep personal data

• Demo and quote requests and related correspondence: up to 2 years after your request is concluded; if we enter into a contract, for the duration of that relationship and the periods required by law.
• Records of your consent to commercial electronic messages: for as long as your consent is valid, and for the period required by law after it ends.
• IP address records used to prevent misuse: short term, about one day.
• Server access logs: for the period set by the hosting provider.

At the end of these periods, personal data is erased, destroyed or made anonymous.

8. Your rights

Under Article 11 of the KVKK, you have the right to apply to the data controller to:

• Find out whether your personal data is being processed,
• Request information about the processing if it is,
• Find out the purpose of the processing and whether the data is used for that purpose,
• Know the third parties, in Türkiye or abroad, to whom your data has been transferred,
• Ask for the data to be corrected if it is incomplete or inaccurate,
• Ask for the data to be erased or destroyed under the conditions in Article 7 of the KVKK,
• Ask for any correction, erasure or destruction to be notified to the third parties who received the data,
• Object to a result against you that arises solely from automated analysis of the data,
• Claim compensation if you suffer damage because your data was processed unlawfully.

You can withdraw your consent to commercial electronic messages at any time, using the opt-out option in any message we send or by writing to info@razbin.com.

9. How to apply

You can send requests about your rights, together with information that identifies you and in line with the Communiqué on the Procedures and Principles for Applications to the Data Controller, in any of the following ways:

• By email to info@razbin.com, from an email address you have previously shared with us and that is recorded in our systems

We will respond as soon as possible and within 30 days at the latest, free of charge. If the request involves an additional cost, a fee may be charged in line with the tariff set by the Personal Data Protection Board.

If your request is rejected, you find our answer insufficient or we do not respond within the time limit, you can file a complaint with the Personal Data Protection Board within 30 days of learning of our answer, and in any case within 60 days of your application.
